Job description

As an office manager you will fulfill the role of management assistant for the CEO and in extension for other members of Ex-com. For the CEO you will offer full support concerning his agenda management, follow up on mails and administrative support. Your accuracy, eye for detail, discretion and extensive knowledge of Microsoft Office 365 ensure that he can delegate multiple tasks which you execute with respect of deadlines and with the highest consideration for quality.



You will be responsible for the internal communication and ensure the coordination and execution of events or initiatives. You create catchy folders, brochures or posters in Photoshop or other graphic programs to inform the team and you adapt the communication style or channel to the message. 
Our colleagues of “Building & Office Supplies” and “Reception Desk”, 4 direct reports in total, will be part of your team. Based on your experience and with a coaching approach, you support and challenge them in optimizing the processes and anticipate in an innovative way to changing needs. Together you will guarantee high quality and efficiency concerning travel management, facility management, purchasing of office supplies, catering, client orientation and internal communication or event organization.



The successful candidate will be extremely organized, very flexible and enjoy the administrative challenges of supporting a growing organization. You feel comfortable working independently and be able to show good use of initiative. You are fluent in Dutch, French and English and feel comfortable having international contacts with a large variety of people and stakeholders. You can look back on at least 10 years of experience in a similar role and ideally you have experience in managing small teams. You can easily adapt and feel comfortable in a changing and growing international environment. Pragmatic, problem solving attitude, attention for detail, discretion, capability of making things happen, stress resistance and enthusiasm are the building blocks of your DNA, which you are able to pass on to others.
